Facilities Details

Here is information and policies for using or renting the facilities at Canadian Memorial Church and the Centre for Peace.

Steps to Booking

  1. Check the web calendar to see if the space you need is available. Note that bookings on weekends and statutory holidays are dependent on us making staffing arrangements, and church programs have priority for use of space where possible. The web calendar is updated regularly, but may not contain the latest or pending bookings.

  2. If the space is available and you want to book, please contact the office by phone at 604-731-3101 or by fax 604-731-5113, or contact our Office Administrator by email so that we can give you a quote. Rates depend upon the day of week, length of booking, and any special setup requirements.



Terms, conditions and rules of use:

Bookings:

The Office Administrator handles all bookings for the Church and Centre for Peace.

When arranging a rental you will need to provide the following information:

  • Date & Time [Time refers to the time during which the facility will be available for you (doors open to doors closed). Allow room booking time before and after your event start and end times for arrival, set-up, dispersal and take down.]

  • email address

  • Billing address

  • Number of people expected

  • Organization and purpose of meeting

  • Any set-up and/or equipment required

You may contact the Office Administrator, at the Centre Office or through email.
If he is unavailable, please leave a message with the above information and he will get back to you as quickly as possible.

To confirm a booking, tenants may be required to pay a deposit or in full, in advance, as set out on the rental agreement.

Tenants may be required to sign a rental agreement.

Church programs have priority for use of space where possible.



Excluded dates:

Our Facilities Calendar will show existing bookings (subject to changes not yet posted).

  • The Centre is generally closed on Statutory holidays.

  • Sundays are usually restricted to Church events.

  • Rentals on Sundays and Statutory holidays are dependent upon making special staffing arrangements, and will have a surcharge to reflect this cost.



Rates:

  • All rates must be confirmed by the Office Administrator.

  • Rates for weddings (which are a compilation of facility and staff charges)
    are found on the Weddings page.



Additional charges:

Additional nominal charges apply in the Centre for the use of:

  • Coffee urns;

  • Flipcharts;

  • TV with VCR/DVD player;

  • Piano;

  • Microphone and speaker.

  • Screen

  • LCD Projector

The Centre does not provide catering facilities, but if you rent the kitchen you can arrange your own catering.

The Church has an excellent sound system and we will provide a qualified sound technician. The fee for the system and technician is $200 (for the first four hours).

A damage deposit may be requested.

Building supervision for rentals outside of normal operating hours will be charged an additional $15/hour.

There will be extra charges for any damage done (over normal wear and tear), and for extraordinary cleaning or garbage removal.



Rate changes:

  • The facility rates are reviewed each year in May. New rates become effective July 1st of each year.

  • Long term tenants will be sent a notice, in writing, outlining the new rates and any change in policies.

  • Bookings made before May 1 for a date after July 1 can be confirmed but the tenant will be notified if the price changes.



Rental fees due:

  • All rental fees are due upon invoice receipt.

  • Cancellation or dishonoured cheques:

  • Payment will be refunded subject to the following cancellation charge:

  • A. Up to 3 months prior to the event – a 25% charge with 75% returned.
    B. Up to 1 month prior to the event – a 50% charge with 50% returned.
    C. Less than 1 month prior to the event – no refund.

    (There is a $25 fee for any NSF cheques.)



Rules and regulations of use

  • At no time is alcohol to be consumed on the premise.

  • Smoking is allowed outside. Smokers are encouraged to use the ashtrays.

  • Damage to the rental space must be reported immediately. If it is determined that the tenant caused the damage, extra charges may apply.

  • Incense and other scented items are not allowed in to any of the carpeted rooms.

  • Functions must be cleared out by 10:00 PM (recommend ending by 9:30 PM).

  • We reserve the right to refuse to rental or use of the facilities if the use in our opinion is incompatible with the mission, vision and values of Canadian Memorial Church.

  • The use of candle is not permitted unless specific permission is obtained from CMUC.

  • We are an environmentally friendly organization and prefer that you use reusable water bottles as opposed to use of disposal water bottles, which despite being returned for a refund still wind up in landfills.

  • As some people are sensitive to perfumes, colognes, aftershaves and other scented products we encourage the non-use of these products while you are on our premises.

  • If you use the kitchen facilities it is your responsibility to wash and put away dishes and return the kitchen to the condition in which you found it.

  • Please take away your own plastics. We are classed as a commercial facility, and therefore the City of Vancouver does not pickup products for recycling.

  • Parking – if you are using space here on a Sunday morning please do not use the parking lot until after 1:30 so that the  elderly members of the congregation can park in the lot and have a short walk to the church.
